1. Introduction
These Business Terms and Conditions (“Booking Terms”) apply to bookings made with [COMPANY LEGAL NAME] (“we”, “us”, “our”, “Explorevia”) for accommodation, travel services, and holiday extras arranged through our website or by telephone/email.
By making a booking, you (“you”, “customer”, “lead passenger”) agree to these Booking Terms. If you book on behalf of others, you confirm that you have authority to accept these terms on their behalf and that all passengers will comply with them.
These Booking Terms should be read together with:
- our Website Terms and Conditions;
- our Privacy and Cookies Policy;
- any confirmation invoice, booking voucher, or supplier conditions sent to you at the time of booking.
If there is a conflict, the terms set out in your written booking confirmation shall prevail over general website content.

3. Our role
We act as an agent arranging travel services with third-party accommodation providers, transport operators, and activity suppliers (“suppliers”), unless your booking confirmation states otherwise.
Where we act as agent, your contract for the relevant service is between you and the supplier. We are responsible for the proper performance of our booking services, subject to these Booking Terms and applicable law.
[If applicable: Where we act as organiser/principal, we are responsible for the proper performance of the package as a whole under the Package Travel and Linked Travel Arrangements Regulations 2018.]
4. Making a booking
A booking is confirmed only when:
- we have received all required passenger details;
- any deposit or full payment due has been received and cleared; and
- we have issued written confirmation (email is acceptable).
Please check your confirmation carefully on receipt and contact us immediately if anything is incorrect.
You must be at least 18 years old to make a booking.
5. Prices and payment
Prices are shown in GBP. Applicable taxes are stated on the accommodation page.
Prices may change before booking confirmation due to currency fluctuations, supplier price changes, or taxes. Once your booking is confirmed, the price is fixed except where these Booking Terms allow changes (for example government taxes or fuel surcharges passed on by suppliers).
We accept payment by PayPal.
6. Passengers, passports, and travel documents
You are responsible for ensuring that all passengers:
- hold valid passports, visas, and health/travel documents;
- meet entry requirements for the destination;
- hold adequate travel insurance;
- provide accurate names and dates of birth matching travel documents.
We are not liable for costs arising from incorrect passenger information or failure to meet entry requirements.
7. Changes and cancellations by you
All change and cancellation requests must be sent in writing to
explore@exploreviatravel.comWhether changes or refunds are possible depends on the supplier’s terms. We will pass on any supplier charges and may charge an administration fee.
Cancellation charges may occur.
Some bookings (including special offers, non-refundable rates, or peak dates) may be non-refundable or subject to stricter terms. This will be stated at the time of booking.
If you have travel insurance, you may be able to claim through your insurer for covered reasons.
8. Changes and cancellations by us or suppliers
Occasionally suppliers may change or cancel services due to events outside reasonable control. If this happens, we will inform you as soon as reasonably practicable and offer reasonable alternatives or a refund of amounts paid for unavailable services, in accordance with applicable law and supplier terms.
We may cancel a booking before departure if:
- payment is not received when due;
- you breach these Booking Terms;
- circumstances make fulfilment impossible or unlawful.
9. Holiday extras
Extras such as lift passes, ski hire, transfers, flights, and activities are subject to supplier availability and terms. We will pass relevant supplier conditions to you where applicable.
10. Your responsibilities during the holiday
You must:
- comply with property rules and local laws;
- treat accommodation and staff with respect;
- report any issues promptly so we or the supplier can try to resolve them;
- leave accommodation in a reasonable condition.
Suppliers may refuse service or require you to leave a property for serious misconduct, without refund.
11. Complaints
If you have a problem during your holiday, please contact us or the local representative/supplier immediately so we can try to resolve it.
If you wish to complain after your return, write to us, including booking reference and supporting details.
12. Insurance
We strongly recommend that all passengers hold comprehensive travel insurance covering cancellation, medical expenses, personal belongings, and activities you plan to undertake. Insurance is not included unless explicitly stated in your booking confirmation.
13. Liability
Nothing in these Booking Terms limits or excludes liability where it would be unlawful to do so.
Subject to applicable law:
- we are not liable for events outside our reasonable control (“force majeure”), including but not limited to extreme weather, strikes, pandemics, government restrictions, or supplier failure;
- we are not liable for indirect or consequential loss, loss of enjoyment, or loss of profit;
- our liability for death or personal injury caused by our negligence is not excluded.
Where we arrange services supplied by third parties, our liability may be limited by applicable international conventions and supplier terms.
If you are booking a package, your rights under the Package Travel and Linked Travel Arrangements Regulations 2018 apply where relevant.
14. Data protection
We process personal data in accordance with our Privacy and Cookies Policy. You agree that we may share passenger details with suppliers and relevant third parties where necessary to fulfil your booking.
15. General
Assignment: You may not transfer your booking without our written consent and any applicable supplier consent.
Severability: If any provision of these Booking Terms is found invalid, the remaining provisions remain in force.
Entire agreement: These Booking Terms, together with your booking confirmation and referenced policies, constitute the entire agreement relating to your booking.
Changes to these Booking Terms: We may update these Booking Terms from time to time. The version in force at the time of your booking confirmation applies to that booking.
16. Governing law and jurisdiction
These Booking Terms are governed by the laws of England and Wales. Disputes are subject to the exclusive jurisdiction of the courts of England and Wales, except that consumers resident in Scotland or Northern Ireland may bring proceedings in their local courts.
